What is ProClose?

Updated August 20, 2026

ProClose turns a carrier quote PDF into a branded, client-ready proposal deck. Drop the quote in, and in minutes you have a presentation with your agency's fees stamped on automatically, the carrier's name masked, and every number traceable back to the page it came from.

#What it does

You drop a carrier's quote PDF in the builder, opened from Build proposal from call on the Proposals page. ProClose reads it, extracts the coverage lines, premium, subjectivities, and binding requirements, and assembles a full slide deck: cover, client and policy information, coverage tables, a premium summary, binding requirements, and a closing "Your agent" slide. If you also drop the client's current policy, you get a side-by-side comparison slide showing what changed and whether the new quote is cheaper.

Your agency fee is added automatically from your Vault fee schedule, keyed by program type. It never has to be typed in by hand, and it never gets forgotten, which matters as much for your E&O file as it does for your bottom line. The deck presents the market as an "A-rated specialty company" instead of naming the carrier, so your markets stay yours even after a proposal gets forwarded around.

Every extracted number carries a citation back to the page it was read from in the source PDF. Those citations live in an internal Analysis panel, never on a client-facing slide, so you can verify extraction against the original document before you present anything.

#The deterministic core

The parsing, the fee stamping, the carrier masking, and the coverage gap scan all run on a rules engine, not a language model. Your quote and policy PDFs are read entirely in your own browser and never uploaded anywhere. Nothing about your documents is sent to an AI model, and nothing is used for training. That is the deterministic promise: the same PDF produces the same extracted fields and the same deck, every time, and you can trace every number back to a page.

An assistant thread in the outline editor, and another in the pre-build options step, take plain-English commands. Neither is a language model, each is a fixed matcher for a short, specific list (setting a fee, adding the umbrella or flood recommendation), and each says so plainly for anything outside that list rather than guessing. See The proposal assistant for exactly what it understands. The one genuine AI step anywhere in ProClose is transcribing and coaching a recorded call, covered in Call analysis: caching, limits, and privacy.

#Who it is for

Two roles use ProClose day to day. The agency owner sees the whole book of proposals and is the only one who edits the Vault (the agency's fee schedule, appetite guide, and coverage standards). A producer sees and builds their own proposals, with read-only access to the Vault. See Signing in and user roles for the full breakdown.

#What it produces

ProClose builds two kinds of output, depending on what you have when you build.

  • A priced proposal, when a carrier quote PDF was successfully parsed. This is the full deck: coverage, premium, fees, binding requirements, and (if a current policy was also parsed) the side-by-side comparison.
  • A discovery brief, when you pulled a sales call or found a client in CRM but have no quote yet. This is an honest, unpriced deck: a "What we heard" slide built from the call, no invented premium, no fabricated coverage numbers, closing on getting the quote rather than getting bound.

See The three ways a proposal gets built for how the app decides which one you get, and Discovery briefs for when to use the second path on purpose.
