Build a proposal from a carrier quote
Updated August 14, 2026
This is the main path through ProClose. You have a carrier quote PDF, you drop it in, you get a branded, fee-stamped, client-ready deck in a couple of minutes. Here is the page end to end.
#Open New proposal
Click New proposal in the sidebar. The page heading reads New proposal, with the subhead Pull the call, pull the client, drop the policy. A Reset button clears everything on the page if you want to start over.
#The two source cards
Above the drop zone sit two optional cards. Neither is required to build a proposal from a quote, but both add context to the deck when used.
- Pull the call, subtext RingCentral, transcript via Fireflies. Click Pick a recent call to open the call picker. See Pull and analyze a recent call for the full picker walkthrough.
- Find the client, subtext Agency Zoom CRM. Type into the Search a name... field and click Find.
Preview notePreview note: the Find button on this card is a demo stub today. It fills in a placeholder status line rather than querying a live Agency Zoom account. The call picker above it is real and connects to RingCentral.
#The drop zone
Below the source cards is the drop zone. Its copy reads:
Drop the carrier quote (and the prior policy, if any)
PDFs, any size. Drop a current policy too and the proposal adds a side-by-side comparison.
No quote handy? Download the sample carrier quote PDF and drop it right back in. It parses for real. Add the sample current policy too and the side-by-side comparison builds itself.
Drop a file, or click the zone to pick one from a file dialog. You can drop or select more than one file at once. Every file you add shows up in a file list below the drop zone with its name and a tag: Carrier quote or Current policy. ProClose decides the tag by filename, looking for "current," "policy," or "dec" in the name. If a file's actual content does not match the way it was tagged, the engine sorts it out correctly when you build, so a quote you happened to name "...Policy..." or two files dropped in the wrong order still work.
For adding a second file to build the side-by-side comparison, see Add the current policy for a comparison.
#The Agent field
Below the drop zone is an Agent field, placeholder Your name (goes on the proposal). Whatever you type here appears on the built deck as the preparing agent.
#More options in the button row
The row of buttons below the Agent field holds more than just Build proposal:
- Research the property. Looks up the risk's address against free public data (flood zone, an estimated building footprint, deep links, and more) before a quote ever comes back. See Property research.
- Save draft. Saves whatever you have so far, a pulled call, a CRM match, dropped files, or a finished analysis, even before any deck exists. See Save a draft and the pipeline stages.
- Enter the numbers by hand. Builds the same shape of priced proposal as dropping a PDF, typed instead of read off one, for a call or an email with no PDF attached. See Enter the numbers by hand.
#Build the proposal
Once you have dropped a quote PDF, click Build proposal. ProClose reads the file in your browser (no upload, nothing leaves your machine to parse it), extracts the fields, and runs an on-screen checklist as it works: reading the document, hiding the carrier name, checking your Vault for a market match, stamping fees, running the coverage gap scan, and building the presentation.
Right before the deck is assembled, you land on the options step.
The options step
The options step heading reads Your vault weighed in. Anything else? This is where you review what your Vault found for this risk and choose what to carry into the deck as a Recommendations slide. Full walkthrough at The pre-build options step.
When you are ready, click Looks good, build the deck. to finish, or Skip to build with no recommendations added.
#What you get
The deck opens in the presenter view: a fully assembled, carrier-masked, fee-stamped proposal built from what was actually in the PDF. Every extracted number carries a page citation back to the source document, viewable in the internal Analysis panel (see Page citations). From here you can edit slides, present, export, or save the proposal to your Proposals list.
#When a PDF will not parse
If the parser cannot deterministically read enough out of the file, you will see a message telling you it could not read that file and it is showing the sample flow instead. Full detail at When a PDF does not parse.
