Which calls are already transcribed
Updated August 14, 2026
Open the call picker on a busy phone line and half the calls in the list might already be analyzed from an earlier pass, yours or a teammate's. ProClose marks them right there in the list, so you never have to re-pick a call just to find out.
#The markers
Each row in the Pick a recent call list carries a small icon before the caller's name:
- A green check. This recording has already been transcribed and analyzed in full. Picking it returns the cached result instantly, no new transcription, no new spend.
- An amber, half-filled circle. The cached transcript is partial: it was captured before ProClose supported transferred calls recorded in multiple segments, so it covers only part of the conversation, typically just the first leg, a receptionist saying "hold on a moment" before handing off. Picking a partial row re-transcribes the call properly, this time capturing every segment, and replaces the incomplete cached copy.
- No icon. Nothing on file yet for this recording. Picking it runs a fresh transcription and analysis.
Hover over a row that already has a marker (green or amber) and, after a short pause, a card pops up next to it showing the transcribed state, the one-line summary, the prospect's name, the current carrier, the next step, and any lines of business that were found, everything you would otherwise have to open the call and analyze it to see.
These markers cost nothing to show. They read only the local analysis cache on your server, no RingCentral call and no transcription or extraction spend, so the list can check every row against the cache every time you open the picker with no downside.
#Who actually took the call
Below the call's direction and timestamp, the list also shows who took the call, and it is not always the person the call log would name first. On a call that gets transferred, RingCentral's own top-level record shows whoever answered first, usually the front desk, not whoever actually worked the conversation. ProClose instead looks at every leg of the call and picks the internal party (someone on an extension, not the outside caller) connected on the longest leg, on the theory that the substance of a call is wherever the time actually went.
That name shows up in two places: right in the call list row, next to the phone number, and again in the From the call panel after you pick a call, in a field labeled Taken by. If the Agent field on the New proposal page is still empty when you pick a call, it fills in with whoever took it, so the right name ends up on the proposal by default.
