Pull and analyze a recent call
Updated August 14, 2026
The call picker lives on the New proposal page, inside the Pull the call card, subtext RingCentral, transcript via Fireflies.
#Open the picker
Click Pick a recent call. A modal opens, headed Pick a recent call, subtext Live from RingCentral. It is loading a live list of recent recorded calls from your RingCentral account, not a cached or sample list.
#Narrow the list
Two controls sit at the top of the picker:
- A producer picker, defaulting to All producers. If you select a specific producer, the list narrows to calls on that extension.
- A time-range picker with three fixed presets: Last 48h, Last 7 days (the default), and Last 30 days.
There is no separate phone-number search field in this picker. If the call you want does not show up, widen the time range or change the producer, rather than looking for a text box to type a number into.
#What a call row shows
Each row in the list shows two lines:
- The resolved client name or number, plus the call duration formatted as minutes and seconds. A small icon in front of the name marks a call already transcribed; see Which calls are already transcribed for what the icons mean and how to preview one without picking it.
- A direction pill, either Inbound or Outbound, followed by the date and time the call happened, followed by the raw phone number or extension on the other end, and, when known, who actually took the call.
While the list is loading, the picker shows Loading calls…. If nothing matches your current filters, it shows No recorded calls in this window. If the RingCentral request itself fails, you will see a Could not load calls message with the underlying error and a Retry button.
#Pick a call to analyze
Click any row. The row shows it is busy and its duration text changes to transcribing… while ProClose downloads the recording, transcribes it, and runs the structured analysis over the transcript.
When it finishes, the Pull the call card's status line updates to show the client name, the call's date and time, and its duration, followed by one of two tags:
- (from cache, already transcribed) if this exact recording had already been analyzed before.
- (transcribed live) if this was the first time.
If the call's client name is available and you have not yet typed anything into the Search a name... field on the Find the client card, that field fills in automatically, and its status line updates to pulled from the call. If the Agent field is empty and the call has an agent name attached, that fills in too.
Right below the source cards, a From the call card appears with the extracted prospect, sentiment, current carrier, and next step, plus the summary and any lines of business the call mentioned. See Call insights, explained for what each of those fields means and where else they show up.
If analysis fails for any reason, the row returns to normal and you will see an alert starting with Could not analyze this call: followed by the specific error, most commonly the 25MB recording limit covered in Call analysis: caching, limits, and privacy.
#What happens next
With a call pulled, you can either drop a carrier quote PDF to build a fully priced proposal with a What we heard slide, or click Build proposal with no quote loaded to build a call-only discovery brief. Both paths are covered in The three ways a proposal gets built and Discovery briefs.
