Sharing a proposal

Updated August 20, 2026

Whoever owns a proposal (the producer who built it, or an agency owner for anyone's) can share it with a specific teammate, so they can open it without becoming a co-owner of it.

#Sharing it

Click Share, either on a proposal's expanded row on the Proposals page or under Send in the deck's side panel. A modal opens listing your teammates; click one to share the proposal with them, or click the same row again to remove their access. Sharing does not transfer ownership. It only adds read access for someone who would otherwise not see it at all.

If you click Share in the deck panel before the proposal has ever been saved, ProClose tells you to save it first, since there is nothing on the server yet to share.

#What the recipient sees

The shared proposal shows up on the recipient's own Proposals page with a Shared by \<your name\> pill next to the client name, so it never looks like their own work. They can click it, expand the row, open the workspace, and view the deck, everything a normal row offers. Coaching notes on the call, if there are any, come along with the share, the owner sees a reminder about that before sharing (see Coaching notes on a call).

What they cannot do is save changes over it or delete it. If they try, either from Save in the deck panel or from the Proposals list, ProClose answers plainly: "This was shared with you, so it is read only." Their own row also shows Shared with you, read only. in place of a Share button of their own.

#Removing access

Open the Share modal again on the same proposal and click a teammate who already has access to remove them. There is no notification to them either way, sharing and unsharing are silent.
