Email a proposal

Updated August 20, 2026

The Email button, under Send in the deck's side panel, is the fastest way to get a proposal into a message to your client. It does not send anything by itself. It hands off to your own mail client with a draft already started, so you stay in control of what goes out and when.

#What clicking Email actually does

Click Email and the app opens a new message in your default mail application. The subject line is prefilled as "Insurance Proposal, {client name}," and the body reads "Here is your insurance proposal from {agency name}. The PDF is attached. Prepared by {preparer name}."

That body line says the PDF is attached, but the app does not attach anything on its own. You need to attach the file yourself before you send.

#The flow

  1. Export a PDF first, using Export PDF (slides) under Download, so you have a file ready to attach. See Print or save as PDF for the difference between that and Print.
  2. Click Email under Send in the side panel. Your mail client opens with the subject and body already filled in.
  3. Attach the PDF you exported in step 1.
  4. Review the draft, then send it from your own mail client the same way you would any other email.

#Why this order matters

Because the draft opens with claim text about an attachment that is not actually there yet, exporting the PDF before you click Email means the draft is genuinely ready to send the moment you attach the file. Click Email first and you will just be switching back and forth to find the file, or sending a message that claims an attachment it does not have.

#Copy summary for Agency Zoom

Right next to Email in the Send section sits Copy summary for Agency Zoom. It does not write anything to Agency Zoom, or to any other CRM. Click it and ProClose copies a plain-text summary to your clipboard instead, the client, agent, date, pipeline stage, the call summary and next step when a call was pulled, and the premium and fee lines when a deck has been priced. Paste that into an Agency Zoom note (or wherever your CRM keeps them) yourself.
